The 10th Executive Board Meeting

Location: Online Zoom-Meeting

Attendees: Tsu-Wei Chen, Kuan-Hsun Chen, Jian-Jia Chen, Chih-Jen Shih, Hsin-Fang Chang, Chia-Ju Yu (Joyce)

Top 1: Opening of the meeting and establishment of the quorum

Everyone agreed to have board meeting today.

Top 2: Setting of the agenda

All attendee agreed with the agenda.

Top 3: Approval of the protocol of the last Executive Board Meeting

All attendee agreed.

Top 4: Report

Chair and Vice Chair (Jian-Jia and Chih-Jen)

Jian-Jia and Kuan-Hsin mentioned about their meeting with EU 科技組 周瑛琪組長 who encouraged us to hold conferences and events within the Netherland, Belgium, Luxemburg, or Denmark. They have budget to cover two events. They mentioned about the 龍門計畫. Jian-Jia mentioned that each 科技組 has budget to organize two events. We seems the only trustable association.

Jian Jia mentioned that the EU 科技組 is in parallel to Germany 科技組. As we can organize events independently with each 科技組, we should be careful about not disclosing events organized by the counterparts.

Jian Jia and 黃仰山 plan to organize an event at Eindhoven in 2024.

Finance (Tsu-Wei)

Tsu-Wei and Jian Jia will have a meeting together reviewing the finance status in details. Afterwards Tsu Wei will hand to Joyce for final check. Tsu Wei received USD 1,000 from 僑委會.

Mailing List (Jian Jia)

Jian Jia is asking if we are allowed to build a mailing list of all members following the privacy regulation. Jian Jia concerns about reply to a mailing list could send to everyone on the list. Jian Jia suggests to build email database to differentiate information sent to different groups such as Germany vs Netherland members.

Membership status (Hsin-Fang/Kuan-Hsun)

We do not receive new applications but recently we received an application using fraud email address and personal information. Kuan Hsun tried to contact the applicant but did not work. We decided to reject the application. Hsin-Fang, Kuan-Hsun, and Jian-Jia asked for executive board’s authorization to reject obvious fraud applications. The request is approved.

Conference Proposal (Jian-Jia)

Jian Jia discussed with Dr. Peng who suggested us to start writing the proposal for the annual conference holding in Bonn. Potential topics include semiconductors, AI, and medicine, as well as ethics and society. We discuss about potential candidates of reviewers.

➔ Berlin Roundtable

Tsu Wei mentioned that it is the easiest to use the venue on campus. Joyce talked to ITRI representative who is eligible to borrow the conference room in embassy, as our association is not private. We could co-organize the event with ITRI. ITRI may also offer some financial support but they may not offer manpower to help.

Next Executive Board Meeting to be decided.
