The 7th Executive Board Meeting

Attendees: Tsu-Wei Chen, Kuan-Hsun Chen, Jian-Jia Chen, Chih-Jen Shih, Hsin-Fang Chang, Chia-Ju Yu (Joyce)

Top 1: Opening of the meeting and establishment of the quorum

Everyone agreed to have board meeting today.

Top 2: Setting of the agenda

All attendee agreed with the agenda.

Top 3: Approval of the protocol of the last Executive Board Meeting

All attendee agreed.

Top 4: Report

Chair and Vice Chair (Jian-Jia and Chih-Jen)

There were some confusion among participants due to the registration fee being related to their current membership status. This issue also extends to the ETAST’s bank account. There are approximately 70 registered individuals, including both non-members and members, with 14 people who have not yet paid. Jian-Jia will send out reminders.

Regarding the conference, Chih-Jen organized Benton for Saturday lunch and catering for sunday lunch. Due to the high expense in Zurich, there will be snacks prepared but no coffee.

Technical Forum (Joyce)

Finished: Tech Roundtable in Berlin (hand over to Joyce)

The roundtable event was a successful event and was discussed extensively. Specifically, regarding the Tech Roundtable half-day event in Berlin (ETAST 2023), we received exceptionally positive feedback from participants, including our invited speakers. The keynote speaker gave compliments of the Taiwanese semiconductor industry. Despite the short preparation time, Joyce did an excellent job in attracting a significant number of participants and high-profile speakers. We had over 50 registered attendees, with more than 40 people present at the event venue. Notably, the event had a strong international presence, with over 50% of our speakers coming from outside Taiwan.

With the positive feedback from this event, the majority of the Executive Board (EB) agreed to hold similar short event more often in the future, potentially at different city in Germany, if there are sufficient (local) financial supports.

➔ General Assembly

The general assembly in the ETCST 2023 will be held in the end of the second day of the conference (24th Sept. 15:30-16:30).

European Taiwanese Conference for Science and Technology 2023 in Zurich

The organization matters of conference was discussed (above). Founding member and speakers will be invited for dinner on Saturday.

The conference budget was discussed, Jian-Jia assumed that the funds from the registration fee and the sponsors might just enough to balance the expenses.

Jian-Jia will send out the info of accommodation to participants who requested to stay in the conference hotel.

Regarding the conference booklet, additional chairmen were appointed for each session. Furthermore, the advertisement of the upcoming mentor program will be integrated into the end of the booklet. In the meanwhile, the mentor program information will be built up by Kuan-Hsun.

Finance (Joyce)

Joyce reported current financial status of the association.

General officer (Tsu-Wei)

Member fee. Discussed already.

Web master (Kuan-Hsun)

Progress was reported on the development of the bank transfer system, the editing of the conference website, membership management, database maintenance, and financial management. Additionally, Kuan-Hsun added the Berlin roundtable event to the archive. Kuan-Hsun will conduct a survey to improve web management further, and it is estimated to cost around several hundred USD for professional software to enhance efficiency of building up the website.

Membership status (Hsin-Fang/Kuan-Hsun)

Hsin-Fang reported 30 new members in 2023, and a discussion was held regarding two undecided membership applicants. The outcome of the discussion was unanimous approval for Melody Lin and Chia-Kai Yang. Jian-Jia will send reminders to some of the applicants for payment.

Top 5: Further Planned Activities 2023

➔ Mentoring Program (Nov. 4th and 5th 2023).

Advertise in the conference, website and booklet.

For the registration fee, it was decided by all the attendees that it is free for members, and for non-members need to be further discussed.

Top 6: Misc.

Next Executive Board Meeting will be on 11th Oct. 20:00. Kuan-Hsun will write the next protocol.
